Your Role in Keeping the Future in Safe Hands…
We are looking for a proactive and detail-oriented Cash Application Specialist to play a crucial role in our financial operations. Your main responsibilities will include efficiently tracking and analyzing customer accounts receivable balances, collecting and summarizing data from various sources, maintaining customer accounts, and analyzing data to track payments and improve customer collections.
Reporting to the VP and Head of Finance, you will play a crucial part in identifying and resolving discrepancies in customer payment records and managing accounts to ensure timely and accurate recording, collection, reconciliation, and reporting of accounts receivable. Your role is integral to maintaining the financial stability of our operations.
What you will do…
- Accurately process and apply incoming customer payments (ACH, wires, credit cards, lockbox, and checks) to corresponding customer accounts in NetSuite and related bank systems (SBC/PNC is a plus).
- Reconcile and resolve unapplied cash, short payments, deductions, and overpayments in a timely manner.
- Monitor and download activity from multiple bank portals, ensuring all receipts are posted daily.
- Research and resolve payment discrepancies and coordinate with AR and Finance team for resolution.
- Assist with month-end close, including reconciliations and preparation of journal entries as needed.
- Identify and communicate patterns or trends in payment activity, deduction types, or recurring issues that impact cash flow. Efficient problem solver.
- Maintain audit trails and supporting documentation for all cash application activity.
- Partner with the AR Analyst to improve and streamline cash posting processes.
- Other ad hoc reporting as assigned
What we expect of you…
- 3–5 years of experience in Cash Application, Accounts Receivable, or Accounting.
- Understanding of debits, credits, and basic journal entries.
- Intermediate to advanced Excel skills (pivot tables, VLOOKUPs, data analysis).
- NetSuite ERP experience preferred; experience with other ERPs (Oracle, SAP, Sage, etc.) also valuable.
- Experience working with banking portals and payment platforms.
- Ability to work efficiently and accurately in a high-volume, fast-paced environment.
- Strong communication skills and customer service mindset.
- Excellent organizational and problem-solving skills.
- Ability to maintain confidentiality and integrity in handling financial data.
