The Role:
In this position, you will play a vital role in supporting the AAES organization by ensuring efficient and accurate processing of orders and requests from District, Distributor, Canada, and Shared Services teams. You will be responsible for managing a high volume of transactions with precision and speed, while continuously learning the procedures and structure of the AAES organization. A key aspect of the role involves gaining knowledge of AAES PDS Equipment to support accurate and timely order entry. Additionally, you will be cross-trained in multiple functional areas, including invoicing, paint matching, scheduling, and handling quality complaint orders—to provide flexibility and comprehensive departmental support.
This role reports to the Customer Service/Order Entry Manager.
Key Responsibilities:
- Process service requests organized by customer priority in CRM portal.
- Work with Production Group Leaders to provide prompt responses
- Process branch bookings in iSAC and enter equipment orders for Districts, Distributors & Canada in Baan
- Review in detail that all booking and change-order docs are complete
- Work with branch operations to manage and release orders
- Coordinate job scheduling
- Work with the Custom Committee to ensure jobs are entered correctly
- Enter Class Three orders for extrusions related to projects already shipped
- Act as the liaison between production and sales
What You Will Need:

- A high school diploma is required. Completion of a community college program is preferred, and a bachelor’s degree is considered an asset but not mandatory.
- 2–5 years of experience in an office environment, preferably in roles involving customer service and data entry.
- Proven ability to work effectively in fast-paced environments while maintaining accuracy and attention to detail.
- Demonstrated experience collaborating in team-oriented settings to meet shared goals and deadlines.
- Strong interpersonal and communication skills, with a background in addressing customer needs and resolving issues professionally.
- Proficiency using Microsoft Suite products (Word, Excel, PowerPoint, Teams, and Outlook)
